Training in the software, and your organisation's governance boundary
Heidi is an AI clinical documentation tool used to capture consultations or solo dictations and structure them into draft notes and referral letters.
Important scope note: AAT Solutions trains users in how to operate the Heidi software itself — its recording modes, templates, and audio settings. We do not provide clinical advice, and whether Heidi may be used with patient information (along with the required patient-consent and data-retention settings) is for your organisation to decide. Always practise with fictional material first.
Three useful capture and dictation routes in Heidi
One of the most common points of confusion in Heidi is mixing up its different voice features. Here are three useful routes for everyday desktop and browser workflows (Heidi also includes Inline Dictation inside Note/Context fields and mobile dictation):
- Transcribe (live consultation or session with Context): Click Start transcribing (or Transcribe) to capture a consultation. This mode works with the Context tab (typed notes, spoken context, or uploaded files) and uses your chosen template to generate a structured clinical note when you end transcription.
- Session Dictation (solo summary or letter): Click the dropdown arrow next to the Transcribe button and select Dictate. Use this when speaking a standalone summary or letter on your own; templates are applied after the initial dictated output is generated. (Note: current Heidi documentation states that Session Context and context linking apply to Transcribe, not Session Dictation.)
- Dictate hotkey (cursor-level dictation): Heidi also includes a keyboard shortcut that inserts dictated text directly at your cursor (across applications in the Heidi Desktop app, or inside Heidi in the browser). Do not use the cursor hotkey when you want Heidi to generate a full templated session note.
Step-by-step: completing your first practice session
- Check your microphone and use fictional details: Open Heidi, confirm the microphone level indicator responds to your voice, and practise with fictional case details. Before any real session, follow your organisation's consent and data-management policies.
- Add background information in Context (when using Transcribe): If you are running a Transcribe session, use the Context tab on the left to type background notes, speak context, or upload relevant files/documents before or during the session.
- Start and end capture: Click Start transcribing (for a consultation or Context-linked practice session), speak clearly, and then click End transcribing (or the stop/end control shown in your version) when finished. (If you instead use the dropdown arrow → Dictate for solo Session Dictation, dictate your summary, stop recording, and apply a template after the initial output appears.)
- Wait for the Note and apply a template: Select your preferred template (such as SOAP or a specialty template) and wait for Heidi to generate the Note tab alongside your Transcript.
- Check every fact against the Transcript before copying: Compare the generated Note against the Transcript and Context tabs to verify all findings, dosages, clinical negatives, and plans before clicking Copy.
Templates, Ask Heidi, and telehealth audio setup
- Customising templates and using Ask Heidi: You can build or edit templates in plain language or using headings,
[square brackets]for placeholders, and(round brackets)for instructions, and use Ask Heidi beneath the note to draft a referral letter or patient summary. Note that custom templates, extra document generations, and Ask Heidi have monthly plan allowances on the Free tier and regional availability rules—check your in-app allowance. - Recording telehealth calls when wearing a headset: A standard microphone input only hears your side of a headset call. Use either the Heidi Desktop app (which captures system-wide audio and headphones) or, in Google Chrome or Microsoft Edge on a computer, choose the Telehealth recording option, select the browser tab running your video call, and tick Share tab audio (not supported in Safari, Firefox, or mobile/tablet browsers). Always run a brief two-voice test first.
Common problems, and what to do
- An observation is missing or ambiguous in the note. Heidi can only draw from what is provided in the Transcript or (in Transcribe mode) Context. State examination findings and clinical negatives clearly during capture or in the Context tab rather than relying on brief shorthand, and inspect the generated note against the transcript.
- The note style is too wordy or too brief. Check your template instructions or your default Scribe / output style settings, and refine the bracketed instructions inside your template so each heading produces the level of detail you need.
- The microphone meter is not moving. Close other apps that may be holding exclusive control of your headset or USB microphone, check the selected microphone input beside the Transcribe button, and confirm the level indicator moves before starting.
5-minute practice exercise (with fictional data)
- Open Heidi and start a new blank session (do not enter any real patient details).
- In the Context tab, type one fictional line:
Practice case: 45-year-old presenting with a 3-day history of mild right knee pain after running. - Click Start transcribing (using Transcribe mode so Heidi links your Context note) and speak a 30-second fictional consultation summary covering examination findings and a plan.
- Click End transcribing (or the stop control shown in your version), wait for the Note to generate, and apply a SOAP template.
- Compare the generated Note against both the Transcript and Context tabs to verify every fictional detail matches. (Optional second test: start a fresh blank session without Context, click the arrow beside Transcribe → Dictate, dictate a short solo letter, stop recording, and apply a letter template after the initial output appears.)
